Manage Wholesale and Company registrations

The Registrations page organizes submitted records into Wholesale and Company tabs. The number beside each tab shows the current number of visible records.

Wholesale registrations

Open Registrations → Wholesale to review Wholesale applicants and their related Shopify customer records.

Understand the Wholesale grid

The Wholesale grid contains 6 columns:

  • Name: Customer name. If the email already belonged to a Shopify customer, the note Tags added to existing customer appears below the name.
  • Email: Email submitted through the registration form.
  • Tags: Wholesale tags assigned to the Shopify customer.
  • Company: Submitted company name or the company currently assigned to the customer.
  • Created: Registration date and time in DD-MM-YYYY HH:mm format.
  • Actions: View registration details, create a company, or open an assigned company.

Search, filter, and sort

You can:

  • Search by customer name.
  • Search by email address.
  • Search by customer tag.
  • Search by company name.
  • Filter registrations by tag.
  • Sort registrations by Created date.

View registration details

  1. Find the registration you want to review.
  2. Click the eye icon under Actions.
  3. Review the information submitted through the Wholesale form. 4 Click Edit to open the Shopify customer record in a new tab.

The registration details remain as the original submitted record. Creating a company or editing the Shopify customer does not rewrite that submission.

Handle an existing Shopify customer

When someone registers using an email that already belongs to a Shopify customer:

  • The app does not create a duplicate customer.
  • The configured Wholesale tags are added to the existing customer.
  • Tags added to existing customer appears below the customer name.

If the customer is later deleted in Shopify Admin, the registration row no longer appears in the Wholesale grid.

Create a company from a Wholesale registration

You can convert an eligible Wholesale customer into a native Shopify company.

The available action depends on the registration and customer state:

Registration or customer state Available action
No company name was submitted The plus icon is hidden
Company name was submitted and the customer has no company The plus icon is displayed
Customer is already assigned to a company A check icon is displayed with the tooltip "View company"
App is disabled The "Create company" action is hidden

Important: A customer can be the contact of only one company at a time.

Create the company

  1. Open Registrations > Wholesale.
  2. Find an eligible registration.
  3. Click the plus icon under Actions.
  4. Review the company name in the confirmation popover.
  5. Confirm that you want to create the company.

After the company is created:

  • The message Company created for {companyName} appears.
  • A native Shopify company is created.
  • The Wholesale customer becomes the company’s main contact.
  • The company appears at the top of the Company tab.
  • A Via Wholesale badge appears beside the company name.
  • The submitted shipping address is copied to the default billing address.
  • The original Wholesale registration remains unchanged.
  • The customer receives the Wholesale Upgraded to Company email.

The Wholesale form does not collect a separate billing address. If necessary, open the company in Shopify Admin and update its company-location addresses after conversion.

Shopify does not require company names to be unique. Check for an existing company with the same or a similar name before creating another one.

Open an assigned company

If the customer is already assigned to a company, the plus icon changes to a check icon.

  1. Hover over the icon to see View company.
  2. Click the icon.
  3. The native company record opens in a new Shopify Admin tab.

Company registrations

Open Registrations > Company to review direct company registrations and companies created from Wholesale applicants.

Understand the Company grid

The Company grid contains 6 columns:

  • Company: Company name and, when applicable, the Via Wholesale badge.
  • Contact: Main contact name and email.
  • Status: Pending, Approved, or Rejected.
  • Locations: Number of locations connected to the company.
  • Created: Registration or creation date.
  • Actions: View submitted information or open the company in Shopify Admin.

Company statuses are displayed as:

  • Pending: Yellow
  • Approved: Green
  • Rejected: Red

View company details

  1. Find the company.
  2. Click the eye icon under Actions.
  3. Review the submitted company information.
  4. Click Open to open the native company record in Shopify Admin.

Understand the Via Wholesale badge

The Via Wholesale badge identifies a company created from a Wholesale registration.

Click the badge to:

  • Switch to the Wholesale tab.
  • Scroll to the original registration.
  • Highlight the related Wholesale row.

Companies submitted directly through the Company registration form do not display this badge.

Approve or decline a company

Company approval and rejection are completed in Shopify Admin. The app displays the registration and provides a direct link to the native company record.

Approve a company

When Auto Approve Company is disabled, new Company registrations remain Pending.

  1. Open Registrations > Company.
  2. Click the eye icon beside the pending company.
  3. Click Open.
  4. Review the company, main contact, locations, and submitted information in Shopify Admin.
  5. Use Shopify’s native action to approve the company.

After approval:

  • The company status changes to Approved.
  • The Company grid displays the green Approved status.
  • The main contact can access the Company portal when the app and portal are enabled.
  • The applicable approval email is sent.

Decline a company

  1. Open the pending company in Shopify Admin.
  2. Use Shopify’s native decline action.
  3. Add a reason when appropriate.
  4. Confirm the decision.

After rejection:

  • The Company grid displays the red Rejected status.
  • The applicable rejection email is sent.
  • The customer cannot access the Company portal through the rejected company.

Import companies using CSV

Use Import to add or update company data in bulk.

  • Open Registrations > Company.
  • Click Import.
  • Click Download a sample CSV.
  • Add your company data using the same columns and structure as the sample.
  • Save the file in .csv format.
  • Select the file in the app.
  • If required, select Overwrite existing companies that have the same company ID.
  • Start the import.
  • Wait for the progress indicator to finish.
  • Review the result.

Use the overwrite option carefully. When selected, matching company records can be updated with values from the imported file.

View import history

Click View import history to review previous company imports and their results.

If an import fails:

  • Confirm that the file uses the .csv extension.
  • Compare the file columns with the sample CSV.
  • Check required company, contact, and location values.
  • Confirm that company IDs are valid when updating existing records.
  • Correct the file and try again.
