How to monitor and manage batches

How to open the Batches Monitor

  1. Go to Batches Monitor
  2. You’ll see:
    • Batch name
    • Orders inside
    • Weight and volume
    • Thresholds
    • ETA
    • Status

How to open a batch

Click any batch row.

Inside you will find:

  • Summary
  • Order list
  • Capacity progress
  • ETA
  • Status
  • Actions
  • Notes

How to use batch actions

  1. Notify WMS

Available when:

  • Batch = Ready to dispatch
  • Email notifications are configured

This sends batch details to warehouse staff.

  1. Force release

Available when:

  • Batch = Collecting

Use this when:

  • It’s end-of-day
  • You want to ship earlier
  • Threshold is not met but shipment must go
  1. Delete batch

Use to:

  • Remove a batch
  • Return orders to waiting state
  1. Change batch status

Allowed transitions only (no backward steps):

  • Pending → Collecting
  • Collecting → Ready
  • Ready → Dispatched
  • Dispatched → Delivered
  • ANY → Cancelled
  • Collecting → Forced Released

Example of batch lifecycle

  1. System creates batch “Sydney Express – 12 Jan”
  2. Orders start entering → Collecting
  3. Threshold reached → Ready to dispatch
  4. Admin clicks Notify WMS
  5. Warehouse ships → Dispatched
  6. After delivery → Delivered
